Beginner Level
Who it is for: People preparing their first machine-based activation who need to organize the objective, audience, site and questions for requesting a proposal.
What you will learn: You will prepare an event brief with its objective, audience and location, and separate equipment, branding, prizes and staffing to request a clear proposal.
Before you start: No prerequisites; gather the objective, audience and basic event details.
A machine-based activation starts with the experience you want to offer the audience: participating, discovering a brand or approaching a demonstration. With Pepe Monedas, you can propose your project and ask about equipment such as PP Tiger 2 to assess its role at the event. This summary of the event's objective and scope, or brief, helps connect the objective, machine, branding, prizes and staffing, and prepare a clear request for your venue in Mexico.
Define the activation's objective and audience
Start with the interaction: what you want the visitor to do or understand. Write down how you will recognize that participation, demonstration or conversation. Add the audience, location, desired date and organizer restrictions. Separate that activity from later commercial results: defining what you want to offer helps you inquire about scope, but does not determine how many people will participate.
Select equipment by function
PP Tiger 2 is an identified candidate that can be discussed according to the project. Request a demonstration of the model and relevant configuration before defining the activity. Availability, the commercial arrangement and customization possibilities are confirmed in the specific proposal. Do not assume rental, customization or a special configuration simply because equipment appears in a concept. Selecting by function prevents an appealing image alone from determining the operation.
PP Tiger 2 in detail
Music: Cipher — Kevin MacLeod · CC BY 4.0. Excerpt adapted with volume adjustments and fades. Added music; no original audio.
Separate artwork, prizes and operation
Organize three related but distinct approvals. Artwork: official files, version and brand authorization. Prizes: references and compatibility to review. Operation: instructions, staffing, replenishment and incidents. The dependency matters: approving graphics leaves the other areas pending their own review. If characters or logos are involved, also document the scope of their use; purchasing the equipment does not automatically resolve that permission.
Prepare the site and logistics
Record access, service space, loading schedules, building conditions and removal arrangements. Assign who will confirm each detail among the brand, organizer and supplier. Site preparation requires competent people for its technical aspects. HSE provides a British reference for organizing site information and responsibilities; here it is used only as a planning method, without transferring standards or distances to the Mexican context. An event is also not equivalent to a permanent operating license.
Agree on what will be accepted at handover
A deliverable is a result you can review. Link each one to who accepts it and the supporting evidence: machine, artwork version, documents and agreed demonstration. Define which changes require another review to preserve the areas that remain valid. At closeout, record handover, incidents and observed participation separately, without confusing an installation photograph with commercial results or adding unconfirmed services.
| Area | Campaign decision | Required information | Responsible party | Acceptance |
|---|---|---|---|---|
| Objective | Interaction defined by the campaign | Audience, site and desired date | Brand | Agreed observable criterion |
| Equipment | PP Tiger 2 as a candidate | Model and configuration | Supplier and project | Relevant demonstration |
| Artwork and prizes | Separate versions and references | Identified files and samples | Brand and technical personnel | Acceptance of each area |
| Operation and logistics | Staffing, access and removal | Actual event conditions | Organizer and supplier | Handover and scope in writing |
Hypothetical example: the brand approves the artwork, but the venue changes the access schedule. The brief keeps the graphics approved and opens a review of the logistics area with the responsible parties. Visual approval is not understood to resolve transport or site preparation. This structure lets you review only what changed and keep the rest of the scope clearly identified.
Share your activation's city, desired date, duration, audience and objective with Pepe Monedas. Add the available space and, if PP Tiger 2 is part of the idea, include that reference and your brand artwork. This will help us review with you which configuration and scope should be quoted for the event.
